Privacy Policy

1.Information we collect
Landlord accounts: name, email address, optional phone number, optional business name, and password (hashed — we never store it in plaintext). We also store property listings, photos, and any qualifying questions you configure.
Renter inquiries: name, email address, optional phone number, qualifying question answers, preferred contact times, and any chat messages exchanged with the listing's AI assistant.
Usage data: standard server logs (IP address, browser type, pages visited, timestamps). We do not use third-party analytics or advertising trackers.
Voice memos: if a landlord records a voice note in the portal, the audio is transcribed via OpenAI Whisper and the transcript is stored. The raw audio file is not retained after transcription.
2.How we use your information
- To operate the platform — matching landlords with renter inquiries, scheduling tours, sending confirmations.
- To send transactional communications — email confirmations, tour reminders, lead alerts — described in Section 4.
- To power the AI property assistant — renter questions are processed by Anthropic Claude using the landlord's listing content as context.
- To maintain trust and safety — verifying reports, detecting fraud, enforcing our Terms of Service.
- To improve the service — aggregated, anonymized usage patterns only.
We do not sell, rent, or trade your personal information to any third party. We do not use your information for advertising.
3.How we share your information
We do not sell, rent, or trade your personal information. We share information only to the extent necessary to operate ReadyToRent — for example, with service providers who help us deliver messages, host the platform, and power features like AI-assisted responses. These providers are contractually prohibited from using your data for any purpose other than providing services to us.
We may disclose information if required by law, court order, or to protect the rights, property, or safety of ReadyToRent, our users, or the public.
4.SMS and voice messaging
By providing a phone number on any ReadyToRent form, you consent to receive transactional SMS messages and, where applicable, automated voice calls related to your use of the service. This consent is not required to use ReadyToRent.
Message types:
- Landlords: new lead alerts when a renter submits an inquiry to one of your listings.
- Renters: tour booking confirmations and reminders sent 24 hours and 2 hours before a scheduled tour.
Message frequency: Message frequency varies based on your activity. Landlords with active listings may receive one message per new lead. Renters with upcoming tours receive up to two reminders per tour.
Carrier charges: Standard message and data rates may apply depending on your mobile carrier and plan.
Opt-out: Reply STOP to any SMS to unsubscribe immediately. You will receive one final confirmation and no further messages.

Phone numbers collected for SMS purposes are not shared with third parties for marketing and are used solely to deliver the messages described above via our messaging provider, Twilio.
5.Data retention
Landlord account data is retained while your account is active. You may request deletion at any time — see Section 8. Renter inquiry data (name, email, phone, answers) is retained as long as the associated property listing exists or for up to 2 years after last activity, whichever comes first.
Voice transcripts are retained as landlord notes and deleted when the associated lead or property is deleted. Server logs are retained for up to 90 days.
6.Security
Personally identifiable information is encrypted at rest. Connections to ReadyToRent are encrypted in transit via HTTPS/TLS. Access to production data is restricted to authorized personnel. We use Supabase Row Level Security (RLS) to enforce data isolation between landlord accounts.
No system is perfectly secure. If we become aware of a data breach that affects your information, we will notify you by email within 72 hours of discovery.
7.Your rights
You have the right to:
- Access the personal information we hold about you.
- Correct inaccurate information.
- Delete your account and associated data (landlords via portal Settings; renters by emailing us).
- Opt out of SMS by replying STOP, or email communications by using the unsubscribe link in any email.
- Data portability — request a copy of your data in a common format.
California residents have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what data is collected and to opt out of sale (we do not sell data). To exercise any right, email hello@readytorent.app.
